Job overview
An exciting opportunity has arisen for a proactive Administration Assistant to join the Medicines Manufacturing Centre (MMC)——a cutting-edge NHS pharmaceutical production facility based in Seaton Delaval, Northumberland. The MMC is in its final design stages. This is a fantastic opportunity to be part of a pioneering NHS manufacturing facility, supporting a leadership team committed to quality, innovation, and patient care.
All employees of the Medicine Manufacturing Centre (MMC) are currently employed by Northumbria Healthcare NHS Foundation Trust, under Agenda for Change Terms and Conditions. Should the service be transferred into alternative ownership, those employees with start dates prior to the transfer date, will be protected under Transfer of Undertakings (Protection of Employment) Regulations 2006 (TUPE). Therefore, employees will transfer to the new employer on the same terms and conditions, which are protected and the employees’ continuity of employment is preserved.

Main duties of the job
- To provide administrative support across customer service, procurement, supply chain and administration functions as well as the wider MMC Team.
- To support Senior Administrator in carrying out administrative tasks to support MMC’s Leadership team and wider team members in meeting co-ordination and HR administration.

The Medicines Manufacturing Centre (MMC) is a brand-new, purpose-built NHS pharmaceutical production facility located at the Northumbria Innovation and Manufacturing Hub in Seaton Delaval, Northumberland. This cutting-edge centre is part of the North East and North Cumbria Provider Collaborative and has been established to meet the growing need for high-quality, regionally manufactured Ready-to-Administer (RtA) medicines and advanced aseptic products.
Funded with £30 million of investment from NHS England, the MMC will support a secure, sustainable supply chain for critical medicines, particularly for oncology and other high-risk therapies, while creating skilled jobs and driving innovation across the region. The facility is designed to operate under a Manufacturer’s Specials Licence (MS) and aims to secure a Wholesale Dealer’s Authorisation (WDA(H)), ensuring compliance with MHRA, GMP, and GDP regulations from day one.

Detailed job description and main responsibilities
- Supports the Senior Administrator in the delivery of a comprehensive administrative service to
MMC's Leadership Team and wider team members. - Takes and transcribes minutes of meetings, and maintains action trackers, following up on
outstanding actions as directed. - Supports the co-ordination of meetings, including organising diaries, preparing and distributing
agendas, collating papers, and booking venues and refreshments. - Supports in maintaining Health Roster records, ensuring rotas and staff records are kept
accurate and up to date. - Supports in maintaining HR documentation on Therefore (and other systems as required),
including sickness, annual leave, and personnel records. - Provides administrative support to the recruitment process, including arranging interviews and
preparing recruitment paperwork. - Provides administrative support for new starter onboarding, including preparing induction
materials, coordinating first-day arrangements and any uniform and PPE requests. - Raises and monitors tickets for any maintenance, facility or site wide issues.
- Welcomes and manages visitors to site, including visitor sign-in and induction support.
- Provides reception cover, including monitoring the general telephone line and mailbox, responding to or redirecting enquiries as appropriate.
- Develops and maintains administrative databases/spreadsheets to support quick and accurate retrieval of information.
- Escalates complex, sensitive, or non-routine issues to the Senior Administrator as appropriate.
Person specification
Qualifications
- Level 3 Qualification in business administration or equivalent experience
- ECDL/advanced ECDL
Experience and knowledge
- Administration Experience
- Experience in Excel to create reports
- Experience working within NHS or Pharmacy environment
