Job overview

An exciting opportunity has arisen for a proactive and motivated individual to join our Core CAMHS Team at Manchester Foundation Trust. We are a dynamic, compassionate and fast-paced service supporting children, young people and families experiencing mental health crisis, both in the community and within their own homes.

Working alongside a dedicated team of clinicians and support staff, you will play a vital role in ensuring our service runs smoothly by delivering high-quality, efficient and professional clinical administrative support. You will support referral processing, data entry, appointment coordination, minute-taking, report circulation and communication with internal and external partners — helping the team respond quickly and effectively to those in need.

This is a great opportunity to work in a supportive multidisciplinary environment where every day is varied and rewarding. You should be organised, adaptable and confident using IT systems, with excellent communication skills and the ability to manage competing priorities. Experience in an NHS, healthcare or frontline support setting would be an advantage, but is not essential.

Main duties of the job

As an Clinical Administrator within the Core CAMHS Team, you will play a vital role in ensuring smooth and efficient service delivery by supporting clinical staff and contributing to high-quality patient and family experience.

You will be responsible for coordinating and supporting clinical activity, including processing referrals, managing appointments, maintaining diaries and organising meetings. You will provide professional secretarial support such as preparing letters, clinical reports, and documentation, and ensuring accurate and timely data entry into patient record systems.

You will help maintain service systems and processes, contribute to good communication within the team, and respond to telephone and email enquiries with professionalism and sensitivity. You will support governance, performance reporting and general administrative tasks to help ensure the service runs safely and efficiently.

You will be expected to work flexibly, manage competing priorities, and use your initiative to support clinicians and the wider multidisciplinary team in delivering effective crisis care.

Disclosure and Barring Service (DBS) check

As part of our commitment to safeguarding patients and staff, many roles at Manchester University NHS Foundation Trust (MFT) require a Disclosure and Barring Service (DBS) check. This is a standard process across the NHS and helps us ensure a safe environment for everyone.

What is a DBS Check?

A DBS check is a background check that reveals any criminal convictions, cautions, reprimands, or warnings. The level of check required depends on the role:

Standard DBS : Checks for spent and unspent convictions, cautions, reprimands, and final warnings.

Enhanced DBS : Includes the above, plus any additional information held by local police that’s considered relevant to the role.

Enhanced with Barred Lists : Includes all of the above, plus checks against the children’s and/or adults’ barred lists.

Who Needs a DBS Check

Most roles involving direct patient contact, working with children or vulnerable adults, or access to sensitive information will require a DBS check. The job advert and recruitment team will let you know if this applies to your role.

The Costs for a DBS

At Manchester University NHS Foundation Trust (MFT), roles that require a DBS check are subject to a cost recovery policy. This means that the cost of submitting and processing a DBS application if you are successful and join us, will be deducted from your salary within the first three months of employment. If, however, you withdraw from a conditional offer after the DBS process has begun, you will still be liable for the cost incurred.

Candidates are also expected to register with the DBS Update Service which must be completed within 30 days of the certificate being issued. This helps streamline future employment checks and supports safer recruitment practices. For more information, please visit the DBS Update Service.

Qualifications

• Good level of general education and english and numeracy skills.

Experience

• Experience of working in a busy administrative environment.
• Experience of audio typing and good audio typing skills.
• Ability to work on own initiative.
• Ability to prioritise workload
• NHS/Health administrative/secretarial experience.
• Experience of working with Paris, Hive and any other electronic patient records
• Experience of working with Trust or different Healthcare setting Policies and procedures
