Job Summary The post holder will be responsible for managing all administrative aspects for the Clinical Care Group Senior Leadership Team. Maintain efficient and effective integrated office support services within the clinical care group to the leadership team. You will demonstrate excellent organisational skills and the ability to use own initiative to effectively prioritise your workload when providing business support to the Leadership Team, direct liaison with partnership organisations and key stakeholders, demands of the post holder the highest standards of professionalism, confidentiality and discretion.
Key Responsibilities The post holder will be responsible for ensuring the provision of an efficient, focused secretarial and administrative support to the clinical care group leadership team. • Ensure the Senior Leadership team must have all necessary papers, documents and/or reports at the commencement of each working day in addition to those required for any scheduled meetings or committees. • Receive visitors for the Senior Leadership team appropriately. • Deal with routine correspondence on behalf of the Senior Leadership Team, including preparing letters and reports for signature. • Ensure the speedy and efficient dispatch of incoming post and telephone messages. • Receive all incoming post/messages, collating where required with previous related correspondence before passing Senior Leadership Team. • Liaise with relevant stakeholders and Senior Managers as required receive telephone calls and deal with them appropriately. • Provide accurate reports, newsletters, Information, communications and slide packs as and when requested. • Organise meetings, seminars and other internal and external events as required by the service. • Ensure that there is comprehensive secretarial and administrative support, and that work is prioritised in accordance with service need. • Ensuring the implementation and maintenance of effective systems, ensuring that records are kept safe, confidential, up to date and accessible. • Managing and contributing to the administration and organisation of team meetings as required. • Ensuring that meetings are recorded appropriately, distributing as appropriate and pro-active follow up and acting on own initiative. • To have an understanding and be able to operate core systems including RiO, Trac jobs, E-Financials, ESR and Healthroster as well as other systems as they come onto action. • To provide support where required to the Senior Leadership team with E Roster, Purchase Orders and Invoicing. 3 • Collate reports and maintain databases and repositories for the senior leadership team. • Plan and co-ordinate your workload autonomously, ensuring all deadlines are met and objectives achieved, seeking advice from line manager when necessary. • To undertake on-going personal development through participation in appraisal and supervision. • To attend and p
