Contract Administrator
Salary: £28,000–£32,000 per annum
We are looking for an organised, proactive and reliable Contract Administrator to join our Contracts team.
This is a varied role supporting the day-to-day administration of an assigned division and helping ensure works are delivered efficiently, appointments are managed effectively and clients, tenants and residents receive a high level of service.
The Role
Reporting to the Project Manager or Head of Operations, you will provide essential administrative and coordination support across live contracts.
Key Responsibilities
*
Answering, screening and directing telephone enquiries.
*
Managing tenant and resident appointment bookings by phone, email and letter.
*
Recording appointments accurately on internal systems and calendars.
*
Issuing and monitoring subcontractor workloads and scheduling jobs.
*
Rescheduling appointments where access is unavailable or staff are absent.
*
Preparing and sending appointment and cancellation notifications.
*
Providing client administrators with updated resident/tenant access schedules within required timescales.
*
Raising purchase orders for materials and subcontractors in line with company procedures.
*
Resolving purchase order queries.
*
Liaising with Contract Managers to support the smooth running of daily operations.
*
Managing resident and tenant queries and complaints, keeping people updated on progress and resolutions.
*
Sending customer satisfaction surveys and collating feedback.
*
Providing general administrative and clerical support.
*
Supporting resident liaison activities.
*
Greeting visitors and receiving deliveries when required.
*
Maintaining confidentiality and considering health and safety within the office environment.
*
Undertaking other reasonable duties as required.
About You
We are looking for someone who is hands-on, organised and confident dealing with people. You should be able to work independently while also being a strong team player.
You will ideally have:

Experience in office or contract administration.
*
Excellent attention to detail and accuracy.
*
Good written and verbal communication skills.
*
Good working knowledge of Microsoft Excel, Word and Outlook.
*
Strong time-management and organisational skills.
*
The ability to prioritise workloads and meet deadlines.
*
A proactive approach and the confidence to use your own initiative.
*
Strong interpersonal and decision-making skills.
*
A professional, honest and trustworthy approach.
*
The ability to maintain confidentiality.
