The Opportunity
Are you an experienced Executive Assistant who thrives in a fast-paced, professional environment and enjoys working closely with senior leaders?
Our client, based near Farnborough, is looking for a highly organised, proactive and personable Executive Assistant to provide high-level support to their nine member Executive Management Team.
This is an excellent opportunity for an experienced EA or PA to take on a varied and influential role, working at the heart of the organisation and acting as a key point of contact for senior stakeholders across the business.
You’ll play an important role in ensuring the Executive Management Team operates efficiently, from complex diary management and meeting coordination through to governance, board support and stakeholder engagement.
Experience within Financial Services, Banking or Mortgage Lending would be advantageous, although it is not essential.
Key Responsibilities
- Provide high-quality Executive Assistant support to nine members of the Executive Management Team.
- Manage complex diaries, prioritising appointments and ensuring executive time is used effectively.
- Coordinate internal and external meetings, including preparing agendas, papers, presentations and briefing materials.
- Attend Executive, management and committee meetings, producing accurate, concise and timely minutes and action logs.
- Monitor and track actions arising from meetings, ensuring deadlines are met and progress is followed up.
- Coordinate and support Board, Executive and governance meetings, working closely with key stakeholders to ensure everything runs smoothly.
- Prepare professional correspondence, reports, presentations and other executive documentation.
- Act as a trusted central point of contact between Executive Management Team members, employees and external stakeholders.
- Maintain highly confidential records and documentation relating to executive and governance activities.
- Process expenses and other administrative requirements efficiently and accurately.
- Support business projects, internal events and communications initiatives as required.
- Arrange travel, accommodation and reservations, ensuring a seamless experience for senior executives.
- Ensure all activities are carried out in line with company policies, regulatory requirements and data protection obligations.
About You
We’re looking for someone who is professional, confident and exceptionally organised, with the ability to build strong relationships and operate with discretion at the highest levels of an organisation.
You’ll ideally have:
- Significant experience working as an Executive Assistant, Personal Assistant or in a similar senior support role, supporting multiple senior leaders.
- Proven experience supporting executive committees, senior management teams and/or governance meetings.
- Exceptional minute-taking skills, with the ability to accurately capture key discussions, decisions and actions.
- Outstanding organisational skills and the ability to manage multiple competing priorities.
- Excellent interpersonal and stakeholder management skills.
- Strong written and verbal communication skills.
- Advanced Microsoft Office skills, including Outlook, Word, PowerPoint, Excel and Teams.
- A high level of professionalism, discretion and confidentiality.
- Excellent attention to detail and a strong commitment to delivering quality work.
- The confidence to work independently, take initiative and exercise sound judgement.
- Experience within Financial Services, Banking or Mortgage Lending would be advantageous.
- An understanding of governance processes and regulated environments would be desirable.
