Global Logistics Coordinator
We are looking for a proactive, organised and detail-focused Global Logistics Coordinator to join our team, reporting directly to our Global Shipping and Logistics Supervisor. This is a hands-on role where you will play an important part in ensuring our domestic and international shipments are prepared accurately, dispatched on time and tracked through to delivery.
You will be responsible for coordinating shipping documentation, supporting customs requirements and keeping shipment information accurate and up to date. Alongside shipping responsibilities, you will provide general administrative office support.

Main Responsibilities and Duties
- Prepare shipping labels and all required documentation for domestic and international shipments.
- Generate accurate commercial invoices based on shipment volumes to support smooth customs clearance.
- Prepare country-specific customs documentation, including FDA Letters, Certificates of Origin and other relevant documents.
- Monitor and track shipments daily, proactively identifying and escalating any delays or issues.
- Create sample and order sheets, Certificates of Analysis (CoAs), packing lists and other documentation required to ensure accurate and timely shipments.
- Coordinate with couriers, internal teams and other relevant parties to ensure shipments are dispatched and delivered efficiently.
- Maintain awareness of international trade regulations, geopolitical developments and country-specific import/export requirements, proactively identifying potential risks that may impact global shipments.
- Maintain accurate shipping records and ensure all relevant information is up to date.
- Provide onsite office support, including answering incoming calls and directing messages and enquiries appropriately.
- Carry out general administrative duties to support shipping and wider office operations.
- Follow established processes and procedures while identifying opportunities to improve efficiency, accuracy and service.
- Support the team with additional administrative and operational tasks as required.
Candidate Requirements

Essential:
- Must have at least 2 years' relevant professional experience within logistics, transport, shipping administration or a similar operational environment.
- Strong organisational skills and excellent attention to detail.
- Confident managing multiple tasks and competing priorities in a fast-paced environment.
- Strong written and verbal communication skills.
- Good problem-solving skills and the ability to resolve issues proactively.
- A flexible and adaptable approach, with the ability to respond positively to changing priorities.
- A willingness to learn new systems, processes and regulations.
- A continuous improvement mindset, with the ability to identify opportunities to improve processes and ways of working.
- Strong IT and administrative skills.
- A collaborative team player who is willing to support colleagues when required.
- High level of accuracy and accountability, particularly when working with shipping and customs documentation.
