This role is integral to providing essential support across various departments, ensuring that all office activities are conducted seamlessly. You will be the first point of contact for many visitors and callers, managing inquiries and maintaining a professional office environment. The successful candidate will demonstrate exceptional organisational abilities, strong communication skills, and a proactive approach to problem-solving within a busy yet supportive workplace located in Belfast .
Key Responsibilities
- Oversee the general day-to-day running of the office, ensuring a productive and organised environment.
- Manage incoming and outgoing mail, emails, and phone calls, directing queries appropriately.
- Maintain office filing systems, both physical and digital, ensuring accuracy and accessibility.
- Order and manage office supplies, stationery, and equipment, keeping stock levels adequate.
- Coordinate meeting schedules, prepare agendas, and take minutes when required.
- Welcome visitors and clients, providing a professional and courteous reception service.
Requirements
- Previous experience in an Office Administrator or similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential.
- Strong organisational and multitasking abilities, with excellent time management skills.
- Clear and concise communication skills, both written and verbal.
