We are currently recruiting on behalf of an established and highly regarded professional services business for an experienced Office Manager to join their team on a 14-month contract.
This is an excellent opportunity for a highly organised, proactive and professional individual who enjoys taking ownership of the day-to-day running of an office and ensuring that everything operates efficiently and to a high standard.
The successful candidate will take responsibility for the overall coordination and smooth running of the office, while providing high-level administrative support to senior management and the wider team. This is a varied role that would suit someone who is confident working independently, enjoys a position of responsibility and is comfortable managing multiple priorities.
Key responsibilities
- Take ownership of the day-to-day management and smooth running of the office.
- Provide high-level administrative support to senior management and the wider team.
- Act as a key point of contact for clients, visitors, suppliers and internal stakeholders.
- Manage incoming calls, emails and correspondence in a professional and timely manner.
- Coordinate diaries, meetings, appointments and room bookings.
- Organise meeting rooms, agendas, documentation and supporting materials.
- Prepare, produce and format reports, letters and other business documents.
- Maintain accurate electronic and paper-based records and filing systems.
- Manage office supplies, equipment, facilities and relationships with external suppliers.
- Liaise with building management, contractors and service providers as required.
- Assist with invoicing, purchase orders, expenses and general financial administration.
- Support client onboarding and ensure client information and documentation is maintained accurately.
- Coordinate internal meetings, events and wider business activities.
- Help ensure company policies, procedures and administrative processes are followed effectively.
- Identify opportunities to improve office processes and introduce greater efficiency.
- Ensure the office environment remains professional, organised, welcoming and well presented.
- Provide general support across the business as required.
About you
- Office Manager or Senior Administrator who is confident taking ownership of a varied workload and managing the day-to-day requirements of a busy professional environment.
- Excellent attention to detail and a high level of accuracy.
- Strong written and verbal communication skills.
- A professional, approachable and confident manner.
- Experience dealing with senior stakeholders, clients and external suppliers.
- The ability to work independently and manage competing priorities.
- Excellent Microsoft Office skills, particularly Word, Excel and Outlook.
- A proactive approach to problem-solving and process improvement.
- Previous experience within a professional services environment would be advantageous but is not essential.
