Regenerus Labs is looking for an experienced, highly organised and proactive Office Manager & PA to join our team in Edinburgh.
This is a varied, hands‑on role combining executive support with responsibility for the smooth day‑to‑day running of the office. You’ll work closely with our Chairman and senior management team, managing priorities, coordinating meetings and travel, keeping the office running effectively and helping to organise company events and activities.
We’re looking for someone who enjoys being at the heart of a busy organisation – someone who spots what needs to be done, takes ownership and can be relied upon to make things happen.
What you’ll be doing
Your responsibilities will include:
- Providing PA and administrative support to the Chairman and senior management team
- Managing diaries, meetings and appointments, including resolving clashes and changing priorities
- Coordinating UK and international business travel, accommodation and itineraries
- Organising meetings, including papers, presentations, minutes and follow‑up actions where required
- Taking responsibility for the smooth day‑to‑day running of the Edinburgh office
- Managing office facilities, supplies, contractors and suppliers
- Supporting expenses, invoices, purchase orders and general administration
- Coordinating company meetings, team activities and events
- Supporting practical onboarding arrangements for new colleagues
- Helping to improve office processes, organisation and efficiency
- Providing support with ad hoc projects and business requirements
What we’re looking for
You’ll already have experience in an Office Manager, PA, EA, Senior Administrator or similar role , and be comfortable working with senior colleagues and managing a varied workload.
You’ll need to be:
- Exceptionally organised, with strong attention to detail
- Confident managing multiple priorities and deadlines
- Proactive and able to anticipate what needs to happen next
- Comfortable taking ownership and working independently
- Professional and confident when dealing with people at all levels
- Discreet and trustworthy when handling confidential information
- Practical, adaptable and solutions‑focused
- Confident using email, calendars, spreadsheets, presentations and document‑management systems
Experience supporting a CEO, Managing Director or other senior executive would be particularly useful, as would experience of arranging international travel, organising company events or managing office facilities.
