Project Coordinator, Office and Operations Manager

Looking for an all-rounder who is happy to do meet and greet, make sure the office is running, as well as the day-to-day administration/project coordination for the business.

Boutique organisation based in the West End

Hybrid set up – 4 days in the office and most likely Friday wfh

You will provide support to the Managing Partners and the wider team.

Duties will include:

• Managing Partners diaries and booking meetings
• Ensuring Partners have necessary documentation for meetings.
• Preparing documentation for project related assignments and tracking of each project/assignment.
• Scheduling business related meetings, calls, and assessments.
• Editing and proof-reading documentation for clients – proposals, presentations, reports, and keeping systems up to date.
• Arranging travel and accommodation and processing expenses.
• Providing support to the wider team.
• Maintaining strong relationships both internally and externally.
• Updating the database and compiling statistics for Partners.
• Supporting the Finance Manager preparing relevant documentation.
• Compiling data reports.
• Ensure the office is running smoothly with adequate supplies of stationery, refreshments etc.
• Handling IT queries and liaising with IT provider.
• Ensure that meeting rooms are setup for meetings and prepare refreshments, as necessary.
• Handling general correspondence, post, and utilities suppliers.
• Health and safety – ensuring assessments are carried out regularly.
• Handling incoming calls and transferring or taking messages.
• Meeting and greeting visitors in a professional and friendly manner.
• Maintaining staff handbook and company policies as required.
• Maintain staff holiday records and filing of HR documentation.
• Adhoc business projects.

The ideal candidate:

• Previous relevant experience within a client driven environment.
• Happy to work within a small office and wear many different hats.
• Proactive and able to use your initiative.
• Self-starter - able to manage own workload and meet deadlines.
• High attention to detail, excellent IT skills and able to pick up things quickly.
• Excellent communication skills both written and verbal.
• Super organised and able to work well under pressure.
• At least 3-4 years previous professional experience.
