About the Role
Our client is looking for a highly organized and self-motivated Remote Fleet Administrator to support their transportation operations, with a focus on their Edinburgh -based fleet. This is a fully remote position, offering the flexibility to manage administrative tasks from anywhere. You will be responsible for maintaining accurate fleet records, processing documentation, and coordinating essential administrative functions to ensure the smooth running of the fleet. The ideal candidate is proactive, detail-oriented, and possesses excellent digital communication skills to liaise effectively with the on-site team and drivers.
Key Responsibilities
- Maintain and update comprehensive digital records for the entire fleet, including vehicle details, maintenance schedules, and driver information.
- Process and manage vehicle-related documentation, such as insurance, permits, and service invoices.
- Coordinate maintenance appointments and service requests with repair shops and fleet managers.
- Assist in tracking vehicle usage, mileage, and fuel consumption for reporting purposes.
- Communicate effectively with drivers and internal teams via email, phone, and video conferencing to provide administrative support.
- Prepare reports on fleet status, compliance, and administrative activities for management review.
Requirements
- Previous experience in an administrative role, preferably within fleet management or a related field.
- Strong proficiency with digital record-keeping systems and standard office software (Microsoft Office Suite, Google Workspace).
- Excellent organizational skills and meticulous attention to detail.
- Effective written and verbal communication skills, suitable for remote collaboration.
- Ability to work independently, manage workload efficiently, and meet deadlines in a remote environment.
