Key Responsibilities
- Manage and coordinate complex calendars, scheduling meetings, and appointments for senior management remotely.
- Prepare and distribute meeting agendas, minutes, and other essential documents with accuracy and timeliness.
- Handle incoming communications, including emails and calls, filtering and prioritizing appropriately for remote team members.
- Organize and maintain digital filing systems, ensuring easy accessibility and confidentiality of sensitive information.
- Assist with the preparation of reports, presentations, and correspondence, adhering to company standards.
- Provide logistical support for virtual team events and remote onboarding processes as needed.
Requirements
- Proven experience as an Administrative Assistant or similar role, with at least 3 years in a senior capacity.
- Exceptional organizational and time-management skills, essential for managing tasks remotely.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools like Zoom and Slack.
- Strong written and verbal communication skills, with a keen eye for detail.
- Ability to work independently, manage multiple priorities, and maintain a high level of professionalism.
- Experience with digital document management systems and virtual meeting coordination is highly desirable.
