Our client is a well-established manufacturing business seeking an experienced and highly organised Service Administrator to join their Service team on a temporary basis. This is an excellent opportunity for an individual with strong administration and customer service skills who enjoys working in a fast-paced operational environment where organisation, accuracy and communication are essential.
Key Responsibilities
- Schedule field-based engineers and Service Partners using the company CRM system, ensuring appropriate allocation of skills and resources to maximise productivity.
- Coordinate parts requirements, including arranging warehouse dispatch, third-party transport, relevant paperwork and purchase orders.
- Liaise with Technical Engineering Managers regarding engineer workloads, productivity and critical sites or jobs.
- Support the delivery of projects and manage individual service cases from initial enquiry through to completion.
- Provide a high standard of customer service, responding professionally and promptly to telephone enquiries and emails.
- Work closely with fellow schedulers and the wider Service team to resolve resourcing challenges and secure appropriate attendance dates for customers.
- Prepare relevant Risk Assessments and Method Statements for service cases.
- Maintain accurate and methodical records of service transactions and activities.
- Manage the Service inbox, raising cases for call-outs, quoted works and commissioning, while ensuring customers receive timely updates.
- Support service order management, logistical despatch, service works billing and general customer enquiries.
- Contribute towards achieving departmental KPIs and maintaining an efficient day-to-day Service operation.
About You
We are looking for someone who is highly organised, proactive and customer-focused , with the ability to manage competing priorities in a busy environment. You will have excellent attention to detail, strong administrative skills and the confidence to communicate effectively with customers, engineers and internal stakeholders.
The successful candidate will ideally have:
- Previous experience in administration, coordination, scheduling or a similar service-based environment. Knowledge of end-to-end logistics would be advantageous
- Strong organisational and time-management skills.
- Excellent attention to detail and process discipline.
- Good numeracy and IT skills, with experience using Microsoft packages and the ability to learn new systems quickly.
- The ability to prioritise and multitask effectively.
- A proactive, enthusiastic and self-motivated approach.
- The confidence to work independently while also contributing positively to a team.
- A responsible, dependable and flexible attitude.
