Overview

Our client is seeking an experienced and highly organised Temporary Executive Assistant / Administrator to provide a blend of executive support and office administration. This is an excellent opportunity for someone who enjoys working in a fast-paced environment and can quickly adapt to new systems and processes.

The role is split approximately 50/50 between supporting the Manager and providing general office administration support.

Key Responsibilities

Executive Assistant Support

• Manage the Manager's diary and calendar, ensuring schedules are effectively coordinated.
• Arrange and coordinate meetings, including sending invitations and managing meeting logistics.
• Monitor and manage email inboxes, prioritising correspondence and responding where appropriate.
• Act as a key point of contact for internal and external stakeholders.
• Provide general administrative support to the Manager as required.

Administration & Office Support

• Manage incoming emails through a ticketing system, ensuring requests are allocated to the appropriate teams for action.
• Monitor ticket progress and assist with follow-up where necessary.
• Maintain accurate records and update internal systems.
• Support day-to-day office administration activities.
• Assist with document management, filing and general business support tasks.
• Collaborate with colleagues to ensure smooth operational processes.

Skills & Experience Required

• Previous experience in an Executive Assistant, Personal Assistant, Office Administrator or similar support role.
• Strong organisational and time management skills.
• Experience managing busy calendars and coordinating meetings.
• Confident handling multiple priorities in a fast-paced environment.
• Excellent written and verbal communication skills.
• High attention to detail and ability to work independently.

Systems Experience

• HubSpot (essential)
• Microsoft Outlook (essential)
• Experience working with ticketing or workflow management systems would be advantageous.
