Workplace Services Finance & Helpdesk Support

Location: Nottingham
Salary: £30,000 per annum
Contract: 6-Month Fixed-Term Contract, with scope to go permanent
Hours: 8:00am – 5:00pm, Monday to Friday
Working Pattern: Fully site-based, 5 days per week

Role Overview

We are currently recruiting for a Workplace Services Finance & Helpdesk Support position based in Nottingham, working for a large and well-established Facilities Management company.

The role is responsible for supporting the smooth day-to-day operation of Workplace Services by providing administrative, financial and customer support.

You will manage helpdesk requests, coordinate contractors and suppliers, support budget and invoice management, produce reports and help ensure colleagues and visitors receive an excellent workplace experience.

Key Responsibilities

Manage and respond to workplace helpdesk requests, ensuring issues are dealt with promptly.

Assign jobs to Workplace Services Operatives, contractors and suppliers.

*

Keep colleagues informed of progress and provide updates on service requests.

*

Monitor supplier spending and support the management of the Workplace Services budget.

*

Process and reconcile invoices, investigating and resolving any discrepancies.

*

Liaise with contractors and suppliers to ensure services are delivered correctly and invoices are accurate.

*

Monitor supplier performance against agreed Service Level Agreements (SLAs).

*

Maintain accurate records, reports and operational dashboards.

*

Produce monthly financial and operational reports.

*

Support audits, compliance checks and document management.

*

Assist with office moves, occupancy tracking and general workplace coordination.

*

Support visitor management and help deliver a positive workplace experience.

*

Identify opportunities to improve helpdesk processes and operational efficiency.

*

Build strong working relationships with colleagues, suppliers and key stakeholders.

*

Provide a high level of customer service and act as a positive representative of Workplace Services.

About You

The successful candidate will be organised, proactive and customer-focused, with the ability to manage multiple requests and priorities in a busy workplace environment.

Previous experience within Facilities Management, Workplace Services, Contract Support, Helpdesk, Administration or a similar environment would be advantageous.

Additional Requirements

Due to the nature of the site, the successful candidate will be required to successfully complete DBS and financial background checks prior to commencing the role.
