About the Role
Our client is seeking a proactive and organized Administrative Assistant to join their dynamic team in Aberdeen . This role is pivotal in ensuring the smooth operation of daily administrative tasks, providing essential support to the management and wider team. You will be the first point of contact for many, contributing to a professional and efficient office environment. Key Responsibilities
- Manage incoming and outgoing mail, and screen and direct phone calls to the appropriate personnel.
- Schedule and coordinate meetings, appointments, and travel arrangements for staff.
- Maintain and update company databases, including contact lists and records, ensuring accuracy and confidentiality.
- Prepare and distribute correspondence, memos, and reports as required.
- Provide general administrative support to various departments, including filing, scanning, and data entry.
- Order and manage office supplies, ensuring adequate stock levels are maintained at all times.
Requirements
- Proven experience as an Administrative Assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general computer literacy.
- Excellent organizational and time-management skills with the ability to multitask effectively.
- Strong written and verbal communication skills, with a keen eye for detail.
- Discretion and confidentiality when handling sensitive information.
