Our client is seeking a dedicated and professional Executive Administrative Assistant to provide high-level support to executives within their Birmingham office. You will be instrumental in managing executive schedules, coordinating complex travel, and handling sensitive communications, ensuring seamless operations and contributing to the executive team's effectiveness. Key Responsibilities
- Manage and prioritize complex executive calendars, coordinating internal and external meetings across multiple time zones.
- Arrange detailed travel itineraries, including flights, accommodation, and ground transportation, ensuring efficiency and cost-effectiveness.
- Prepare and edit executive-level correspondence, reports, and presentations, ensuring accuracy and adherence to company standards.
- Act as a gatekeeper, screening calls, managing correspondence, and responding to inquiries on behalf of executives.
- Organize and prepare materials for board meetings, ensuring all necessary documents are distributed in a timely manner.
- Maintain confidential files and records with utmost discretion and security.
Requirements
- Minimum of 5 years of experience supporting C-suite executives or senior management.
- Demonstrated proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms.
- Exceptional organizational, time management, and multitasking abilities.
- Excellent interpersonal and communication skills, with a professional demeanor.
- Ability to handle confidential information with integrity and discretion.
- Experience working in a fast-paced corporate environment in Birmingham .
