We’re recruiting for a proactive, highly organised Office Administrator to join a busy food manufacturing business. This is a varied, hands‑on role supporting day‑to‑day office operations, customer service, order processing, dispatch coordination and general administration.
You’ll suit this role if you’re confident working independently, comfortable handling a fast‑moving inbox and phone line, and technically capable with Microsoft Office (especially Excel). Experience using Google Sheets and an interest in improving templates, reporting and admin processes is a strong advantage.
Key responsibilities
- Manage shared inbox and phone queries, responding professionally and escalating where needed
- Process customer orders and support delivery scheduling/booking
- Coordinate dispatch activity with internal teams and external transport/logistics suppliers
- Investigate and resolve delivery/order queries and discrepancies
- Maintain accurate records and operational trackers (orders, dispatch info, stock/production‑related updates)
- Collect and check delivery confirmations (e.g., proof of delivery) and support accounts/admin processing
- Support compliance‑related paperwork for shipments where required (documentation/filing and checks)
- Provide general admin support: scanning, filing, document prep and ordering office supplies
- Provide holiday/peak‑period cover, including supporting label set‑up/printing checks using standard label/design tools and equipment
Skills & experience
- Strong admin background in a busy office environment (manufacturing/warehouse/supply chain exposure is beneficial)
- Confident working independently with a resilient, proactive approach
- Excellent communication skills (written and verbal) and a customer‑focused mindset
- Strong Microsoft Office skills: Outlook, Word and Excel (formulas/confident data handling)
- Comfortable using Google Sheets (or willing to learn and improve reporting/templates)
- High attention to detail (especially for order accuracy and label/detail checking)
- Organised, able to prioritise and manage multiple tasks to deadlines
- Permanent role with full training provided
- 20 days annual leave + bank holidays
- On‑site facilities (standard kitchen/rest areas) and free parking (office‑based role)
Hours: Monday to Friday, 9:00am–5:00pm (paid lunch break)
