The Opportunity

We are recruiting for a Sales Administrator to join an established and successful business, supporting its growing customer base and playing an important role in managing customer enquiries and orders from initial contact through to completion.

This is a genuinely customer-facing position, offering much more than traditional sales administration. You will act as a key point of contact for your own customers, building relationships, understanding their requirements, responding to enquiries, providing updates and helping resolve any issues along the way.

The aim is to take an initial enquiry and develop it into a successful order, coordinating with various internal departments to ensure everything runs smoothly and customers receive the service they expect.

It's an excellent opportunity for someone with experience in sales administration, account management or estimating who enjoys dealing with customers, taking ownership and seeing things through.

Key Responsibilities

• Act as the day-to-day contact for a portfolio of customers, building strong working relationships and delivering excellent customer service.

• Handle incoming enquiries, understand customer requirements and provide information, updates and quotations where required.

• Manage the customer journey from initial enquiry through to order placement, production, shipment and delivery.

• Prepare and process customer orders, ensuring all specifications, quantities, pricing and delivery requirements are accurately recorded.

• Liaise closely with internal departments, including Sales, Production, Quality, Logistics and Finance, to coordinate orders and keep everything on track.

• Keep customers informed of progress, providing updates on schedules, approvals and delivery timescales.

• Coordinate customer approvals, proofs and samples, ensuring these are issued and followed up within agreed timescales.

• Proactively identify and resolve any customer queries, delivery delays, discrepancies or quality-related issues.

• Arrange transport and shipments, preparing the necessary documentation and ensuring deliveries meet customer requirements.

• Support the preparation of sales invoices, maintain accurate records and assist with general commercial administration.

About You

We are keen to speak with candidates who have a strong background in a customer-facing commercial role. This could include:

• Sales Administration or Sales Support

• Account Management or Customer Account Coordination

• Estimating or Quotation Administration

You will ideally demonstrate:

• Excellent customer service and communication skills, with the confidence to build relationships over the phone and via email.

• A proactive approach, taking ownership of customer enquiries and following things through to completion.

• Strong organisation and attention to detail, with the ability to manage multiple orders and priorities simultaneously.

• The ability to communicate effectively with different departments and coordinate activity to meet customer expectations.

• Good problem-solving skills and the confidence to manage customer queries and resolve issues.

• Competent IT skills, particularly Microsoft Outlook and Excel, with experience using order processing or ERP systems beneficial.

Experience within a manufacturing or industrial environment would be advantageous, as would exposure to international customers, export documentation or shipping processes. However, these are not essential if you bring the right customer-facing commercial experience.
