About the Role
Our client is seeking a diligent and highly organized Administrative Assistant to provide dedicated support to a Department Head in their Leeds office. This role is crucial for ensuring the efficient functioning of the department by managing schedules, correspondence, and logistical arrangements. You will act as a key support person, requiring excellent communication skills, a proactive approach, and the ability to handle sensitive information with discretion. The successful candidate will be instrumental in facilitating the smooth operations of the department, contributing directly to the department's overall effectiveness. Key Responsibilities
- Manage the Department Head's complex diary, scheduling meetings, appointments, and calls efficiently.
- Prepare, proofread, and format documents, reports, and presentations.
- Handle incoming and outgoing correspondence, emails, and phone calls with professionalism.
- Organize and coordinate departmental meetings, including minute-taking and action tracking.
- Manage travel arrangements and expense claims for the Department Head.
- Maintain organized filing systems, both digital and physical, ensuring information is readily accessible.
Requirements
- Proven experience in an administrative support role, preferably supporting senior management.
- Excellent organizational and time management skills, with a keen eye for detail.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong written and verbal communication abilities.
- Ability to work independently, manage priorities, and maintain confidentiality.
