About the Role
Our client seeks a proactive and highly organized Executive Administrative Assistant to provide comprehensive support to senior leadership within their Birmingham operations. This role is crucial for ensuring the efficient functioning of executive offices by managing complex schedules, coordinating meetings, and handling sensitive information with discretion. You will be a key point of contact, managing communications and ensuring smooth operational flow for a fast-paced executive team. Key Responsibilities
- Manage and maintain complex calendars and schedules for multiple executives, coordinating appointments and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents, ensuring accuracy and professionalism.
- Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Handle confidential information with the utmost discretion and professionalism.
- Serve as a liaison between executives and internal/external stakeholders, managing communications effectively.
- Anticipate the needs of executives and proactively address potential issues or conflicts.
Requirements
- Proven experience as an Administrative Assistant or Executive Assistant supporting senior management.
- Exceptional organizational and time-management skills, with the ability to prioritize effectively.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
- Excellent written and verbal communication skills, with a high level of attention to detail.
- Discretion and tact in handling confidential information.
- Ability to work effectively under pressure and adapt to changing priorities in a dynamic environment.
