About the Role
Our client is seeking a highly organised and proactive Construction Site Administrator to provide essential support to the project team in Edinburgh . This hybrid role involves managing the administrative functions of a busy construction site, ensuring smooth day-to-day operations. You will be the central point of contact for site personnel, suppliers, and visitors, handling documentation, communications, and logistical arrangements. This position is crucial for maintaining efficient site operations and requires an individual with excellent attention to detail and a can-do attitude, working closely with site management to ensure seamless project execution.
Key Responsibilities
- Manage site office operations, including greeting visitors, answering phones, and handling incoming/outgoing mail and deliveries.
- Maintain accurate site records, including timesheets, delivery dockets, site diaries, and personnel information.
- Assist with the preparation and distribution of site documents, such as safety notices, meeting minutes, and site instructions.
- Process purchase orders, invoices, and expense claims in a timely and accurate manner.
- Coordinate site logistics, including arranging meetings, managing meeting rooms, and organising travel as required.
- Ensure compliance with company policies and procedures, and assist with health and safety administration.
Requirements
- Proven experience in an administrative or secretarial role, preferably within the construction industry.
- Excellent organisational and time-management skills, with the ability to multitask effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong communication and interpersonal skills, with a professional demeanour.
- Ability to work independently and as part of a team, demonstrating initiative and problem-solving skills.
- Familiarity with construction site operations and terminology is an advantage.
