About the Role
Our client is seeking a highly organised and proactive Property Portfolio Administrator to support their growing property management team in Stoke-on-Trent . This role is essential for the smooth operation of their diverse property portfolio, involving a range of administrative, communication, and organizational tasks. You will be responsible for ensuring that all property-related documentation is up-to-date, coordinating with tenants and contractors, and assisting the property managers in their daily duties. The ideal candidate will have excellent attention to detail, strong IT skills, and a proactive approach to problem-solving, contributing to a positive experience for both tenants and property owners.
Key Responsibilities
- Maintain accurate and up-to-date records for all properties within the portfolio, including tenancies, maintenance logs, and financial data.
- Handle tenant inquiries, process applications, and coordinate move-in/move-out procedures efficiently.
- Schedule and coordinate property inspections, maintenance, and repair works with tenants and third-party contractors.
- Prepare and issue property-related correspondence, including lease agreements, notices, and rent statements.
- Assist property managers with financial administration, such as processing invoices, managing petty cash, and reconciling accounts.
- Ensure compliance with all legal and regulatory requirements relating to property management and lettings.
Requirements
- Previous administrative experience, ideally within the property or real estate sector.
- Strong organisational skills and meticulous attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with property management software is a plus.
- Excellent communication and interpersonal skills, with the ability to deal effectively with tenants, contractors, and colleagues.
- Ability to multitask and manage priorities effectively in a fast-paced environment.
- Familiarity with the Stoke-on-Trent property market would be an advantage.
